Volunteer Position (1 opening)

As an Assistant Events Coordinator, you will lead development efforts and plan and coordinate special events and fund-raising programs.

This volunteer position presents the opportunity to make a meaningful contribution to the CTRC and the surrounding neighborhood. The goal of this position is to coordinate, develop and implement group volunteer events and other special events of CTRC ensuring their continued growth and success.

Job Description:
- Responsible for assisting with scheduling, planning, coordinating, and executing CTRC sponsored events such as, Oktoberfest, Decofest, Dyngus Day, Central Terminal Train Show, etc.
- Collaborates on all events and serves as lead/point person for specific events.
- Serves on the Events Committee and assists in coordinating volunteers for all events.
- Works closely with the Board of Directors and Events Committee. The Coordinator will ensure the successful promotion, attendance & coordination of events.
- Assists individuals seeking to help support the CTRC in finding volunteer opportunities.

Summary of Duties:
- In coordination with the Board and other designated volunteer liaisons schedule & secure event participants & supplies
- Create or review and update event budgets
- Provide regular docent tours, provide guests with answers to questions about the Terminal
- Direct guests to the items of interest they may inquire about
- Collaborate with marketing volunteer to promote events
- Work with CTRC Media and IT Volunteers to publicize and organize events online
- Coordinate community service volunteers assisting with events promotion
- Build and strengthen collaborations with student groups and organizations
- Design/write and/or update program guides for events as required
- Review volunteer applicants to assist with finding suitable roles for volunteers staffing events
- Provide feedback to Volunteer Coordinator to update volunteer records
- Assist in the project planning and implementation of events, including the procurement of project supplies and on site volunteer management
- Assist with event promotion
- Maintain timely and effective communication with volunteer staff, clients and agencies
- Contribute material for articles in CTRC and/or outside newsletters
- Assist, when necessary, with set-up, clean-up and maintenance
- Set up chairs, tables & stage for events
- Assist during events with tasks such as waste management, spills, etc.
- Facilitate tear down after events
